How product matching works
LevelOps resolves products automatically using a two-step AI approach. No manual mapping required.
Step 1: SKU lookup
Section titled “Step 1: SKU lookup”When a line item contains a SKU, item code, or catalog ID, LevelOps searches your Shopify catalog for an exact or near-exact match on that identifier.
- High-confidence match found: product added to the draft order immediately.
- No SKU or no match: proceeds to Step 2.
Step 2: Semantic AI fallback
Section titled “Step 2: Semantic AI fallback”If no SKU match is found, AI runs a semantic search against your full Shopify catalog using the product description. It understands meaning, not just exact text.
For example, “Navy scrub top size M” matches “Cherokee Workwear Scrub Top, Navy, Medium” automatically. The search covers title, description, and variant attributes.
Confidence thresholds
Section titled “Confidence thresholds”- Above threshold: product added to the draft order automatically.
- Below threshold: item flagged. The draft order is still created with all matched items. Unmatched items are listed in a flagging email.
Pricing
Section titled “Pricing”Pricing always comes from Shopify, never from the PDF. This includes:
- Standard Shopify product prices
- Shopify Plus B2B price lists
- Customer-specific catalogs
What gets extracted
Section titled “What gets extracted”| Field | How it works |
|---|---|
| Products | SKU lookup, then semantic AI fallback |
| Quantities | Per line item; flagged if format is ambiguous |
| PO number | Pulled from document header or reference fields |
| Payment terms | Extracted if present, applied to draft order |
| Shipping address | Shopify company location first, then PDF-scraped fallback |
Improving match accuracy
Section titled “Improving match accuracy”- Add SKUs to your Shopify products. Exact SKU matches are faster and more reliable than semantic search.
- Use clear, consistent product titles and descriptions in your catalog.
- If the same product keeps failing to match, open a support ticket. We can add a custom mapping rule.
